I am responsible for ensuring that your personal information is processed in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and subsequent amendments to UK data protection law.

Some information may be classed as Special Category Data under UK GDPR, including information relating to physical health, mental health, emotional wellbeing, ethnicity, religious beliefs, sexual orientation or other sensitive matters discussed within counselling.

Information may be collected when:

• You contact me by email or telephone.
• You complete client registration or assessment forms.
• You attend counselling sessions.
• You make payments for services.
• You provide information during our therapeutic work together.

I collect and process personal information to:

Confidentiality and Information Sharing

Information shared during counselling is treated confidentially.

Information will not normally be shared with third parties without your consent unless:

• There is a serious risk of harm to yourself or another person.
• There are safeguarding concerns relating to a child or vulnerable adult.
• Disclosure is required by law or court order.
• There is a legal obligation to report certain criminal activity.
• Disclosure is necessary to protect vital interests.
• You have provided written consent.

Wherever possible, I will discuss any disclosure with you before taking action unless doing so would increase risk or be prohibited by law.

Clinical Supervision

As part of professional and ethical practice, I undertake regular clinical supervision.

Client work may be discussed with a qualified supervisor to ensure safe and effective practice. Identifying information is minimised wherever possible, and supervisors are bound by professional confidentiality requirements.

Online Counselling

Where counselling is provided online, sessions are conducted using Google Meet.

While reasonable steps are taken to protect confidentiality and security, no internet-based communication can be guaranteed to be completely secure. Clients are encouraged to access sessions in a private location and use secure internet connections where possible.

Sessions are not routinely recorded.

Payments

Payments are made by bank transfer.

Payment records, invoices and transaction details may be retained for accounting, taxation and business administration purposes.

Website Enquiries

If you submit an enquiry through my website contact form, the information you provide will be used solely to respond to your enquiry and assess whether my services are suitable for your needs.

If counselling does not proceed, enquiry information will only be retained for as long as reasonably necessary and then securely deleted.

Storage and Security

I take reasonable technical and organisational measures to protect personal information.

These measures may include:

• Locked storage for paper records.
• Password-protected electronic devices.
• Secure email accounts.
• Restricted access to client information.
• Secure destruction of records when no longer required.

Retention of Records

Client records are normally retained for seven years following the end of therapy and are then confidentially destroyed, unless a longer retention period is required by law, safeguarding obligations, insurance requirements or professional guidance.

Financial records may be retained for longer where required by HMRC regulations.

Your Rights

Under UK GDPR, you have the right to:

• Request access to your personal information.
• Request correction of inaccurate information.
• Request restriction of processing in certain circumstances.
• Request erasure where applicable.
• Object to certain types of processing.
• Request transfer of your personal information where applicable.
• Raise concerns regarding how your personal information is handled.
